About Document Monitor ---------------------------------------------------------------------------- 1.1 Document Monitor ---------------------------------------------------------------------------- Two types of document monitor are available. * Document Monitor The Document Monitor enables you to check the printer and job status after you have sent a print or fax job. * Printer Setup You can change the configuration of the target printer and check its status on the computer. 1.2 The Difference between the Monitor Feature of EasyOperator 6.0/6.1/6.2 and Document Monitor ---------------------------------------------------------------------------- Document Monitor is the Monitor feature made independent from EasyOperator 6.0/6.1/6.2. The following changes were made apart from EasyOperator 6.0/6.1/6.2. a. In order to use Document Monitor, you have to install Document Monitor on the PC (installation of EasyOperator 6.3.0 is not required). b. The Monitor feature in EasyOperator 6.0/6.1/6.2 will communicate with the device periodically to obtain device information whereas Document Monitor will only communicate with the device after it received a Print command. c. Some displayed messages were changed. ---------------------------------------------------------------------------- 2. Operating Environment ---------------------------------------------------------------------------- 2.1 Client ---------------------------------------------------------------------------- The following requirements are needed to run this service. Hardware - PC/AT compatible computers with a CPU of Pentium 150MHz or above - Available hard disk space: 30MB (Ensure that the space mentioned above is available upon installation.) - RAM: 64MB or above - Network Interface Card - Video Display: VGA or above (above 800 x 600 is recommended) Software - OS: (Note 1) Microsoft(R) Windows(R) 2000 Professional (English version, Service Pack 1/Service Pack 2/Service Pack 3/Service Pack 4) Microsoft(R) Windows(R) XP Professional (English version, Service Pack 1/Service Pack 2/Service Pack 3) Microsoft(R) Windows(R) XP Home Edition (English version, Service Pack 1/Service Pack 2/Service Pack 3) Microsoft(R) Windows (R) XP x64 Edition (English version) (Note 2) Microsoft(R) Windows Vista(R) (English version) Microsoft(R) Windows Vista(R) 64-bit Editions (English version) (Note 2) Microsoft(R) Windows(R) 7 (English version) Microsoft(R) Windows(R) 7 64-bit Editions (English version) (Note 2) Microsoft(R) Windows(R) 8 (English version) Microsoft(R) Windows(R) 8 64-bit Editions (English version) (Note 2) (Note 1) If the Windows OS installed with Document Monitor is upgraded, ensure that you install and use the latest Document Monitor. (Note 2) It is only applicable to certain machine models. As to the applicable machine models, please refer to [3. Supported Models]. ---------------------------------------------------------------------------- 3. Supported Models ---------------------------------------------------------------------------- The latest compatible hardware product information is available on our web site. http://www.fxap.com.sg/product/software.jsp ---------------------------------------------------------------------------- 4. Access Restriction for Printers ---------------------------------------------------------------------------- Printer configurations can be changed using Document Monitor. Therefore, password is being used to restrict user access so that no user will inadvertently change the configuration of a shared printer. * To configure a printer using "CentreWare Internet Services" To configure a printer from "CentreWare Internet Services", user name and password are required. For the default name and password, please refer to the manual of the system that you are using. * SNMP Community Name Document Monitor uses SNMP to access the printer. A community name must be specified to access the printer via SNMP. Document Monitor is set up in the beginning to access individual printers using their default community name. If the community name of the printer has been changed, you have to change the community name used on Document Monitor to match that of the printer. You can change the Community Name used by Document Monitor on the [Print/Fax Progress Notification Setup] tab on the [Document Monitor Environment Setting] screen. For details on how to change the community name of the printer, please refer to the user guide for the target printer and the Help for CentreWare Internet Services. ---------------------------------------------------------------------------- 5. Limitations ---------------------------------------------------------------------------- 5.1 Notes on the Installer ---------------------------------------------------------------------------- 5.1.1 Notes on repairing the previous Document Monitor installation If you run Document Monitor Setup on computer with Document Monitor installed and choose Repair, errors as shown below may occur while copying files. - The previous installation was implemented from the network drive and the current installation is implemented from the CD-ROM. - The previous installation was implemented from the CD-ROM and the current installation is implemented from the network drive. Errors occur because essential files cannot be found on the CD-ROM or network drive used in the previous installation. In this case, please install from the CD-ROM drive or network drive that was used in the previous installation. Or, you can also uninstall the Document Monitor first and run the installation again. 5.1.2 Notes on installing Document Monitor to Windows XP If the "Windows(R) Installer version is outdated" message appears at the beginning of Document Monitor installation, press the "OK" button to continue the installation. 5.1.3 Notes on installing Document Monitor For Windows 2000, if the Windows Installer version is older than 2.0, it will automatically be upgraded when the installation for Document Monitor begins. In this case, "1607 error" appears and the installation may not be continued. For details on the counter-measure, please refer to the above Microsoft websites. 1. Reinstall Windows Installer. 2. Grant full-control rights for the partition where Windows is set up in "SYSTEM" account. 5.1.4 When installing Document Monitor on computer with CentreWare Network Service installed In order to install Document Monitor on computer with Network Service installed, you must uninstall "CentreWare Network Service" from "Add/Remove Programs" first. 5.2 Notes on Document Monitor ---------------------------------------------------------------------------- 5.2.1 Notes on monitoring powered-off printer To monitor printer connected to NetWare or Microsoft network for the first time, the target printer must be turned on. After the printer is turned on, restart the printer monitor to monitor the target printer. 5.2.2 When timeout occur in the document monitor In the following situations, "Job in Progress" and "Print/Fax Process Notification" does not exit normally but timed out. 1. Jobs on the network are deleted from the "Printers" folder in Windows 2. Jobs specified in print mode other than ART and PLW are issued 3. The printer is turned off and then on in the process of job execution 4. Job is issued from printer connected via LPR, which makes use of "Memory" and has "Job Spooling" enabled, and then the printer is turned off and then on (in this case, the job is being deleted and printing is not performed) 5. Jobs that have exceeded the timeout setting upon completion, or jobs that have been sent but have exceeded the timeout setting because the job queue or the printer was paused. (For jobs that have exceeded the timeout setting at the end of completion, you can extend the timeout duration in "Stop monitor upon timeout" in "Environment Settings" > "Print/Fax Process Notification Settings" tab, or deselect the checkbox to disable timeout setting.) 5.2.3 Notes on Print/Fax Process Notification display When job that appears in the Print/Fax Process Notification are deleted from the "Printers" folder in Windows, the next job will not appear on the Print/Fax Process Notification until the deleted job has become timeout in the Print/Fax Process Notification. In this case, delete the job from the document monitor. 5.2.4 Notes on obtaining printer IP address from the DHCP server For printer that has been set up by obtaining IP address from the DHCP server and monitored by the printer monitor, if the IP address of the printer is changed, the printer icon registered on the printer monitor menu will appear as offline. When this happens, temporarily quit the printer monitor and restart it again. 5.2.5 Notes on offline Windows 2000 / Windows Server 2003 shared printers If shared printer (Note 1) is registered in the "Printer" folder of the client computer and this computer is not powered on, Document Monitor will take a longer time to start. When this happens, restart the client computer or delete the printer from the "Printers" folder on the computer. (Note 1) Shared printers on Windows 2000 / Windows Server 2003. 5.2.6 When printer pool is enabled in Windows 2000 / XP and multiple ports are selected If "Enable Printer Pool" check box is selected in printer properties in Windows 2000 and multiple ports are selected, the Document Monitor cannot be used. To use Document Monitor, select a single port only. 5.2.7 When printing using Windows 2000 PostScript driver When printing with PostScript driver in Windows 2000, the name displayed in "Job in Progress" and "Completed Jobs" in the document monitor and in "Document Name" in Print Notification dialog box is the name of the printer instead of the name of the printing document. 5.2.8 Notes on using Document Monitor for the shared printers in Windows 2000 If the printer "Properties" > "Advanced" > "Print Processor" > "Default datatype" is set to "NT EMF 1.xxx" and "Properties" > "Configuration" > "EMF Spooling" is set to "On", Document Monitor will not be able to monitor. 5.2.9 Notes on Always display Process Notification screen on top If you are using screen saver on your computer, the "Process Notification Screen" of the printer monitor may appear in front of the screen saver. When this happens, select "Environment Settings" from the CentreWare printer monitor menu in the task tray, and then deselect the "Always display Process Notification screen on top" check box in the "Print/Fax Process Notification Settings" tab on the "Printer Monitor Environment Settings" screen. 5.2.10 Notes on monitoring RPrinter mode printer >From the CentreWare printer monitor menu in the task tray, select the "Environment Settings" to display the "Printer Monitor Environment Settings" screen. Select RPrinter-mode printer from the "Printer list" in the "Select printer for monitoring" tab and click "OK". When the "Port and Printer Settings" screen appears, enter the "IPX address" of the printer. 5.2.11 Notes on using shared printer on Windows 2000 / XP / Windows Server 2003 from Windows XP client When using shared printer on Windows 2000 / XP / Windows Server 2003, Document Monitor on Windows XP client may not be able to monitor jobs on the shared printer. When this happens, please acquire [Manage Documents] permission on the Properties sheet of the shared printer on Windows 2000 / XP / Windows Server 2003. 5.2.12 Notes on cancelling printing from the application Even if printing is cancelled by the application, the job may still appear as job in progress or completed job. If the job is displayed as job in progress, you can either wait until timeout (default is 10 minutes) or terminate the printer monitor and then restart again. 5.2.13 Limitation in cases when multiple computers share the same network address or multiple Operating Systems are installed on the same computer. When multiple computers are sharing the same network using DHCP or when multiple Operating Systems are being used on the same computer, Document Monitor will not function properly. 5.2.14 Points to note when monitoring a printer that uses a WSD port On Windows Vista / Windows 7 / Windows 8, a printer that uses a WSD port will not be registered as a target printer to be monitored by the Document Monitor even if you print at that printer. Register the printer you wish to monitor with the Document Monitor using the following procedure. (1) Right click on the [Document Monitor] icon on the task tray and select [Environment settings] from the menu. (2) On the [Select printer to monitor] tab of the [Environment settings for Document Monitor] dialog, check the printer you wish to register, then click the [OK] button. (3) In the [Port and printer settings] dialog, specify the IP address or host name of the printer you wish to register, then click the [OK] button. 5.3 Notes and restrictions when Windows Firewall is available ---------------------------------------------------------------------------- Windows Firewall becomes available when using "Windows XP Service Pack 2 with Security Enhancement Function" (hereinafter Windows XP SP2) on Windows XP. Windows Firewall is available on Windows Vista / Windows 7 / Windows 8 as a standard. When Windows Firewall is available, the display of the Document Monitor might be delayed or might not be updated. In addition, when a printer is installed on another subnet on Windows Vista, that printer cannot be searched even if the broadcast address of that subnet is specified. To prevent this, register the program to the list of exceptions for Windows Firewall using the following procedure. (1) Select "Control Panel" from the "Start" button. (2) Open "Windows Firewall" (Windows XP), or "Program permission using Windows Firewall" (Windows Vista) and select the "Exceptions" tab. (3) Click the [Add program(R)...] button to open the [Add program] dialog box. (4) Select <> in the Programs and services(P) window, then click the [OK] button. If <> is not displayed in the Programs and services(P) window, click [Browse] at the path and specify the path for <>, then click the [OK] button. (5) <> will appear in the Programs and services(P) window. Check that the check box has been selected. If it has not been selected, select the check box manually. *1 Program to be registered: Cwcommu.exe Path=\DocMon\Cwcommu.exe (1) Click the [Start] button and select [Control Panel]. (2) Open [System and Security] and select [Windows Firewall]. (3) Select [Allow a program through Windows Firewall] and open the [Allowed Programs] dialog box. (4) Select [Change settings]. Open the [Allowed program and features:] window and select <>. Click [OK]. If <> is not displayed in the [Allowed programs and features:] window, select [Allow another program...] and open the [Add a program] dialog box. Click [Browse] to specify <> and then click [Open]. (5) <> is displayed in the [Add a Program] dialog box. Click [Add]. (6) Confirm that <> is displayed with its check box selected in the [Allowed programs and features:] window, then click [OK]. If the check box is not selected, select the check box manually and then click [OK]. *1 Program to be registered: CentreWare Communication Module *2 Program path = \DocMon\Cwcommu.exe (1) Open [Control Panel]. (2) Open [System and Security] and select [Windows Firewall]. (3) Select [Allow an app or feature through Windows Firewall] and open the [Allowed Programs] dialog box. (4) Select [Change settings]. Open the [Allowed apps and features:] window and select <>. Click [OK]. If <> is not displayed in the [Allowed apps and features:] window, select [Allow another apps...] and open the [Add an apps] dialog box. Click [Browse] to specify <> and then click [Open]. (5) <> is displayed in the [Add an apps] dialog box. Click [Add]. (6) Confirm that <> is displayed with its check box selected in the [Allowed apps and features:] window, then click [OK]. If the check box is not selected, select the check box manually and then click [OK]. *1 Program to be registered: CentreWare Communication Module *2 Program path = \DocMon\Cwcommu.exe 5.4 Precautions and Limitations when running Document Monitor and EasyOperator on the same PC ---------------------------------------------------------------------------- If you have installed EasyOperator 6.0/6.1/6.2 on a computer that already has Document Monitor installed, Document Monitor may not function properly. In this case, follow the procedure below to repair Document Monitor. 1. Uninstall EasyOperator 6.0/6.1/6.2. 2. Perform a Repair installation of Document Monitor.
